Every Toastmasters club has the opportunity to participate in the governance of Toastmasters International through the Annual Business Meeting. To ensure your club is represented, it is important to complete the proxy assignment process and meet all required deadlines.
The process is simple and takes just a few steps.
Important Dates
- July 10 to August 12, 2026: Proxy Assignment Period
- August 13 to August 16, 2026: Credentials Process
- August 19, 2026: Annual Business Meeting and Voting
Founder’s District Recommendation
Founder’s District clubs are encouraged to assign their proxy to:

Assigning your proxy to District Director Julie Murphy, DTM helps ensure your club’s voting rights are represented at the Toastmasters International Annual Business Meeting if your club officers are unable to attend and vote on behalf of the club.
Step 1: Assign Your Proxy
Club Presidents or Secretaries should:
- Complete the Club Proxy Assignment process.
- Obtain any required club approval.
- Designate Julie Murphy, DTM, District Director as the club’s proxyholder.
- Submit the assignment before August 12, 2026.
Remember, every club should designate a proxyholder, even if a club officer plans to attend the meeting.
Step 2: Credentials Process
From August 13 through until August 16, proxyholders complete the credentials process through Toastmasters International’s voting system. This process verifies voting eligibility and officially assigns voting authority.
Step 3: Vote at the Annual Business Meeting
On August 19, 2026, voting delegates will participate in the Annual Business Meeting and cast votes on matters affecting the future of Toastmasters International.
