Discussion Items
- Division Status Report – Handed out by Richard- DIVISION G THE GOLDEN GIANTS
- Division G Officer Training event a SMASHING SUCCESS
- Division G has a reputation for being a bit low on officer training so we need to keep mindful and attentive to solving this challenge. It is crucial to club momentum and success.
- Member Retention Awards
- Area Council Meetings & Club Visits
- Extremely important that the Area Governor or another of the top three officers visit the clubs each month to keep the support, enthusiasm, and excitement going.
- Suggestions for the Area Council Meetings: serve food; keep the meetings to one hour.
- Send Club Visit forms to the District Governor. Finish Club Visits by end of September.
- Area and Club Success Plans:
- In progress! Keep them going. The Club Success Plan really supports the club in being successful. The DEADLINE is due to Wilma Springer by August 12 th but will be accepted any time. Those received on time will receive a ribbon for their banner.
- Division Council Communications
- PLEASE CHECK AND RESPOND TO YOUR EMAIL FROM RICHARD IN A TIMELY MANNER. KEEP THE FLOW OF COMMUNICATION GOING. THANK YOU. PLEASE CHECK AT LEAST ONCE PER DAY.
- Also, please state any questions in the subject line and the body of the email. This goes along with reading the whole email… message.
Educational Presentation (Lauren Kelly)
Last minute Club officer training – how do we go about it and who can help?
- We could go to a club and do the training.
- Offer to meet over coffee, dinner, a glass of wine, any day any time…
Lauren encourages getting everyone trained. August 28 th is the last officially scheduled training session See www.foundersdistrict.org for details. Looking at the stats for the areas, there are some challenging tasks ahead of the Area Governors. Any current or past District Officers are able to help with the trainings. Past Area Governors may train. There are so many people who can help out. You can look for a past District Officer yourself or ask Richard or Lauren. Ask the Club Presidents to get these trainings done.
There is a challenge of clubs without doing the training and not being as successful as possible. HD is concerned about his Leisure World club which is successful but not following manual speeches or doing the trainings as well as possible.
Send an email to John Angiolillo with details about who was trained, which office, when, etc.
Each Area Governor was given a complete set of the officer’s manuals, which would be used to deliver these trainings.
Lauren encourages you to help make this work small, not a burden, doable. Offer assistance. We are planting seeds and watching them grow.
Area Speech Contests (HD Boesch) Handout(s) – 3 attachments
- HD says, “Start earlier than you think you should because time is running out!
- You want to have a stress free environment for the contestants.
- Planning + Delegation + Supervision = Successful Event.
- And a Successful Event = Fun & Joy for Attendees.
- ( + Stress-free Environment for Contestants + Invisible Organization)
- Failure to do these things can result in disaster, disappointment, STRESS, no fun!
- Reserve your facility EARLY.
- Start PR early; typically you can use email to begin this process.
- HD prefers pre-registration so you can have an accurate head count.
- Run a DEAL ie: 10 tickets = one for free. (Get the checks from the clubs to encourage participation and commitment)
- HD has seen some well-planned contests go “bad” because of a failure to PRE-BRIEF. He recommends doing this within a week prior to the event. You should have the complete script for the contest. Ask everyone to read the script.
- HD recommends that the TEST SPEAKER match the speech to the audience. Lauren says that may not be so critical in the Evaluation contest. So, this would be an issue for each Contest Coordinator to deal with.
- Test Speakers: get an outside of the area speaker. We have speakers in our areas available to speak in other areas. It will avoid unfair advantages to have unknown speakers. The speakers should be just before their CTMs any speech 6 through 10, 5 –7 minutes. That way the speaker can get credit for their speech. They should NOT be advanced manual speakers so the evaluators have something to work “evaluate.”
- Distinguish between Elimination and Penalty.
- You can eliminate problems by planning ahead.
- Have a little speech prepared in case of problems.
- Chief Judge is as important as the facility. (Lauren K)
- Lauren says the Chief Judge should find the judges. Call Lauren if you have trouble finding a chief judge who will not find his or her own judges. Lauren has concerns about a few chief judges so call her if you have questions.
- David Cates is the Keeper of the Judges list. Richard Daugherty will check with David to confirm/assure that he will be sending the list out to everyone.
- Have GREETERS
- Idea for Toast Masters: Best to have someone who has already attended a contest so they understand what is happening. Give new toastmasters the opportunity to be the Toast Master…
- Lou Jenkins volunteered to be the Speech Contest Toastmaster for the Division Contest.
Staff Reports
- Education Chair – Lauren Kelly – Turn in accomplishments as soon as they are accomplished. There are many pins available. Go to clubs to congratulate them and to hand out pins. Wrap your words in something INSPIRATIONAL!
- Club Extension Chair – Lou Ann Frederick
- Membership Chair – Lou Jenkins
- Visit clubs and assist with the recognition. TI is promoting membership building through August. Take advantage. “The life blood of any organization is the NEW BLOOD.”(Richard Daugherty) Richard requests a synopsis of strategies from Lou next month.
- Contest Chair – HD Boesch (See previous notes)
- DEC Chair – Mary Berg (not present)
- Secretary – Gayle Thomas-Larkin
- Please RSVP regarding minutes so we can handle minutes by email. Richard and I will work to make any handouts from the meeting available through a website. Information to come.
- Treasurer – Chitra Mathur (not present)
- Richard reported for her. We are still awaiting report from District regarding training. We are completing signature cards for the bank.
Area Governor Reports
- Area G-1 Herb Modelevsky Has visited all but one club. All is going well. Contest Oct 2 – 9:30 a.m. Community Presbyterian Church
- Area G-2 Ruth Kubis (Lou Jenkins) has met with some clubs to install officers. Don’t know for sure about club contest. Assume September 25th.
- Area G-3 HD Boesch – feels very lucky to have great clubs and an assistant area governor. Flour Fluent Philosophers Toastmasters Club has had dramatic growth from 5 to 18 members in the last term. (Is there a Phoenix award?) The only problem is with getting the officers at Leisure World to do the training.
- Area G-4 Camille Pettigrew - Richards reports for her that all is going well and the one club which is dealing with a move is making progress.
Richard encourages keeping alert for potential new clubs.
- Area G-5 Michael Heath One of the clubs (Best Software) is not providing speech evaluations to the speakers. They are not assigning mentors. Richard recommends that Michael help them use the Evaluation Video as an edutopic. Still working on getting officers trained. Three clubs have presented DCPs.
Richard says to start the fire with individuals.
